PAPERWORK / DOCUMENTATION

It is imperative that all team members submit their paperwork / documentation (evaluation form, visit sheet) in a timely manner for efficient processing and expedient receipt of honoraria.

Recommendations include:

  • completing forms immediately after the performance
    • could take 5 - 10 minutes if some prework (filling out some parts of form in advance) done
    • allows musicians to capture information while it is still fresh on their minds
    • allows for the team captain to collect and submit all forms as a packet for each performance


SCHEDULING

Coordinating the schedules of the musicians and client(s) is a vital step in making the performance assignment happen!

Recommendations include:

  • knowing the schedules / schedule patterns of the musicians on your team 2 - 3 months out
    • especially important when dealing with Activities Directors at facilities because they are filling their calendars well in advance
    • extremely important with larger teams (quartets, quintets, etc.)
    • allows the captain to provide as many performance date options as possible
      • captain may be able to schedule multiple visits in a single call

    • captain can determine quickly whether a particular assigment can be done or not
      • key that captain communicates back to Musical Interludes when an assignment cannot be done promptly so that their team can get a replacement assignment and that another team gets this particular assignment
  • realizing how many assignments / performances that the purchase requisition covers
    • team must carry out designated number of assignments to satisfy purchase requisition for processing


PROGRAMMING FOR SMALL AUDIENCES (HOMES)

Performances at the residences is the core of the Musical Interludes Program. Programs are generally 45 minutes or less in duration.

Recommendations include:

  • using the smaller ensembles (trios or smaller) exclusively
    • space limitations for musicians
    • do not want the sound (volume) to be overwhelming
  • knowing one half or more of the selections for the performance prior to arriving
  • having an extensive repertoire to fill out the program based on audience response and input including
    • classics
    • show tunes and popular tunes
    • hymns (if appropriate)
  • instrument demonstration / discussion can be a nice touch


PROGRAMMING FOR LARGE AUDIENCES (FACILITIES)

Performances at the facilities (assisting living residences, care units, etc.) is a natural outgrowth of the Musical Interludes Program! Programs are generally 45 minutes or less in duration.

Recommendations include:

  • using the larger ensembles (trios or larger) exclusively
    • space available to accomodate number of musicians
    • sound (volume) can fill the facility
  • plan program in its entirety prior to arriving
    • handing out copies of programs to patrons nice way to connect to larger crowd
    • perform classical music with some show tunes, popular music, etc.
  • instrument demonstration / discussion can be a nice touch
